Job description
Our client, a recognised, VC-backed SME is one of the most respected authorities in their field - within professional services. With 6 international offices inc. London & Dubai, they are now seeking a professional, experienced Executive Assistant for one of the leading Partners based in Dubai, requiring experience at C-Suite level, ideally from large consulting firms, involving regular travel to accompany the Partner to speaking engagements & consultancy work - and other duties atypical of a Senior EA for a Partner within an international consultancy.
The role ensures the EA is able to operate efficiently, with proactive diary management, managing complex workstreams and administrative tasks. The EA acts as a trusted liaison point within a fast-paced professional services environment - and is suited to an experienced EA with similar experience within London / UAE, who are now based in Dubai.
Executive Support
- Manage & optimise the Partners’ diary, anticipating priorities, minimise scheduling conflicts and ensuring effective time management.
- Co-ordinate meetings, including preparation of agenda, briefing notes, papers and tracking follow up actions.
- Screen, prioritise & handle incoming communications on behalf of the Partner.
- Comprehensive diary & inbox management.
- Supporting preparation of confidential board materials, presentations and briefing documents.
- Coordinate and manage travel arrangements – and accompany Partner to events internationally inc. London & Singapore
- Manage arrangements for regular professional services' speaking engagements.
- Keeping momentum across multiple workstreams with a fast-paced environment.
Client & Stakeholder Management
- Act as the first point of contact for clients, senior stakeholders and internal teams.
- Maintain strong professional relationships with internal and external stakeholders.
- Track key deadlines, milestones and deliverables.
Administrative Support
- Handling sensitive and confidential information with the utmost discretion.
- Draft routine letters, updates and files notes.
- Supporting invoicing and expenses administration.
- Supporting the preparation of meeting documents in line with Company communication style and branding.
- Coordinate internal and external events, including professional networks, seminars and conferences.
Operational Task Management
- Anticipate the Partners’ needs and take proactive steps to reduce administrative tasks.
- Track and chase internal deadlines, tasks and actions.
- Maintain and overview of the Partners’ workload and commitment to ensure smooth operation and efficiency
Skills & Experience
Essential
- Proven experience supporting senior leaders within a global, professional services environment – ideally for a global consulting firm
- Confident & skilled written and verbal communication skills.
- Commercially astute, exercising strong judgement and decision-making skills.
- Exceptional organisation skills, with the ability to prioritise a busy and complex workload.
- High degree of discretion, confidentiality and professionalism.
- Ability to work autonomously, make decisions, and anticipate needs independently.
- Strong personality to handle busy workload, ad hoc duties – with experience dealing with senior Partners’ and ability to dictate diary / logistics as and when required
- Willingness to take a ‘roll your sleeves up’ mindset and accompany Partner to overseas offices for events, attending legal arbitration cases and speaking engagements & events
Desirable
- Advanced proficiency in MS Office (Outlook, Word, Excel, PowerPoint).
- Ideally IEAA qualified (or equivalent) – not mandatory
